During the performance of his labor functions, when the employee needs to take a break from work to solve his everyday problems, it comes from vacation without saving wages. Depending on the purpose, all holidays at their own expense are classified and taken into account in the schedule of working hours in the context of their types.

When accounting for working time, the time sheet (in short, the time sheet) provides information for each employee regarding all periods of his labor activity. Reflected are the facts of presence and absence at the workplace, both with the preservation of earnings, and unpaid. The format of the accounting document, as well as the procedure for its execution, is regulated by the employer, taking into account generally accepted coding standards for the data entered into it.

Personnel services of budgetary institutions work with a time sheet (f. 0504421 according to the All-Russian classifier of documentation), which corresponds to a letter coding reference book.

At the enterprises of the commercial sector of the economy, tabling is carried out in one of the options:

  • on uniform forms of T-12 or T-13, designed for manual filling or automated accounting, respectively;

  • In its own form of the register accepted in the organization as a PUD. The report card is developed on the basis of the standard form given in the Order of the Ministry of Finance No. 52, taking into account industry and internal standards. At the same time, one of the spirit of the types of data encoding is selected: alphabetic (in the form of a single capital letter or two-letter abbreviation) or the corresponding alphanumeric designation.

When designing the time-sheet of the RIA, in practice, there is variability in the symbols used to encode vacation without saving wages. It all depends on the reasons why the employee takes the days at his own expense, and this type of vacation is called differently. For example, in colloquial terms, the terms "without content" or "b / s" are used. They are incorrect, since this is not about frivolously depriving a person of the funds paid to him, but about his lack of labor earnings in connection with the failure to perform his duties for certain, very objective reasons.

Given the variety of wording of the administrative document, which serves as the basis for filling the time sheet, it is customary to use a certain classification of vacations without saving earnings. It consists of two main ciphers, two additional encodings and several special cases of designation of unpaid periods.

Paid Codes

An employee who has applied to the employer with an application for leave at his own expense can receive it on two grounds provided for by labor legislation.

  1. The vacation, the duration of which is determined by the family circumstances (marriage, birth of a child, loss of a close relative), the administration is obliged to provide the employee. An employer does not have the right to refuse to rest at his own expense and to preferential categories of workers (people with disabilities, combatants, liquidators of the Chernobyl consequences, parents of children with disabilities, etc.). Since the time frame for these types of leave is defined by law, the right to use them requires documentary evidence from the applicant. The tabulation of "vacation under the law" is carried out with the letter abbreviation "OZ" or the number 17.

  2. Leave at the discretion of management. It is called administrative or "by agreement with the employer, " because the final decision on when and for how long the employee can leave work on urgent personal matters is made by the employer. Absenteeism with the permission of the employer, which we most often call the commonplace “b / s”, is indicated by “DO” (numerical code 16).

When accounting for additional unpaid holidays, they are marked in the timesheet with their codes:

  1. The cipher for the study leave "UD" (13) is entered in the time sheet when the applicant or graduate takes the days at his own expense. The basis for registration of "additional leave in connection with training" is the provisions of articles 173 and 174 of the Labor Code.

  2. Some categories of employees are entitled to additional rest at their own expense under the Federal Law, collective agreement or other VLA. Unpaid vacations of a specified duration, which is in the nature of additional leave, are granted annually to persons with state awards and ranks, volunteer firefighters, women with two children, etc. When tabulating, such days are labeled “DB” (18).

A symbol code affixed to any of the grounds for absenteeism indicates all days of the calendar period that is assigned to the employee by order (both workers and general ones). The holidays or days of temporary incapacity for work coinciding with the vacation period at their own expense shall not affect the regulation of unpaid leave. Such days only affect the duration and timing of the annual paid vacation.
